Welcome to Your Wedding Planning Journey with Trademark Venues
Congratulations on your engagement! We are thrilled that you have chosen Trademark Venues to host your wedding and are so excited to begin this planning journey with you.
We understand that your wedding day is one of the most significant moments of your life. Our planning team is here to support you every step of the way, helping bring your vision to life while making the process feel clear, personal, and enjoyable.
Our approach is collaborative. You bring the ideas, priorities, and details that make the day feel like you. We bring the experience, guidance, and behind-the-scenes support to help everything come together.
This Planning Hub is designed to be your home base throughout the process. You can use it to explore resources, prepare for upcoming conversations with your planner, revisit information when questions come up, and get a sense of what is coming next.
You do not need to have everything figured out right away!
Planning can feel overwhelming if you try to tackle everything all at once, so we’ll break it down together. Your planning team will help you understand what matters now, what can wait, and when decisions need to be made.
Some couples want to be involved in every detail. Others would rather lean more heavily on our experience and recommendations. Both are completely okay! Our job is to meet you where you are, help make the process easier, and create a plan that still feels entirely your own.
And when your wedding day arrives, our goal is simple: you should not be thinking about timelines, vendor arrivals, setup, or what needs to happen next.
You should be fully present for the people and moments that matter most.
WHAT DOES MY PLANNER DO?
Your Trademark planner is your partner throughout the planning process and your point person on the wedding day. They’ll get to know you, your priorities, your people, and the details that matter most to you. By the time your wedding arrives, they may feel a little less like your planner and a little more like your wedding-day bestie.
Together, you’ll build your timeline, talk through vendors, food and beverage, design, décor, and all the details that make the celebration feel like you. Leading up to the wedding, your planner will connect with your vendors, share timelines and venue information, collect required insurance and paperwork, and make sure everyone knows where to be and when.
On the wedding day, your planner is there from early in the morning until after the last guest leaves. They’ll oversee your décor setup, welcome and direct vendors, guide the ceremony and formalities, keep the timeline flowing, solve problems behind the scenes, and oversee the packing of your personal décor at the end of the night.
There are a few personal planning details outside of the venue that remain yours to handle, such as travel arrangements, hotel bookings, attire appointments, and payments to your outside vendors. Friends and family can be a great resource for those pieces, while your Trademark team stays focused on planning and executing the celebration happening here.
The goal is that when your wedding day arrives, you don’t have to manage it.
You get to experience it.
Your planning Journey
Planning can feel overwhelming if you try to tackle everything all at once. We will guide you one step at a time!
Your wedding planning process is built around a few key milestones, each designed to focus on the decisions that matter at that point in the journey. Between meetings, you’ll always have access to your planner via email, phone, or Zoom calls. This Hub is also a great resource whenever questions come up.
Nothing needs to be perfectly figured out before we meet. Come with ideas, questions, inspiration, or even a few things you haven’t figured out yet. We’ll work through it together.
First Planning Meeting
When You're ready to begin planning
This is where we begin building the foundation of your day.
We’ll get to know you, your vision, and what matters most to you, then start talking through your vendors, wedding party, food and beverage, ceremony, and overall wedding-day flow. Together, we’ll begin building a customized timeline around the celebration you’re envisioning.
You do not need to make every decision at this meeting. The goal is to give the day a strong foundation and make sure you know what to focus on next.
Design & Décor Meeting
At the halfway point of your planning process, typically 4-6 months before the day
This is where your wedding starts to come to life visually.
We’ll revisit anything that has changed since your First Planning Meeting, then work through your celebration from the moment guests arrive through the end of the reception. Together, we’ll explore your venue’s décor collection, talk through ceremony and reception design, create your floorplan, and begin bringing all of the visual details together.
Come with inspiration, not a finished design. Your planner will help you turn the things you love into a cohesive plan that still feels completely your own.
Bringing it all together
In the months leading up to Final Planning
By now, the major pieces are usually in place. This part of the process is about refining the details.
You may be attending a tasting, collecting RSVPs, working on your seating chart, choosing music, thinking through photography, finalizing ceremony details, and making the last few food, beverage, and décor decisions.
We’ll continue guiding you along the way and make sure you know what needs to be completed before your Final Planning Meeting.
Final Planning Meeting
Typically 3 weeks before your wedding
This is where all the pieces come together.
We’ll review your final guest count, timeline, vendors, seating, menu, bar selections, ceremony details, décor, and wedding-day logistics so everyone is working from the same plan.
By the end of this meeting, the goal is for you to feel confident that the details have been covered and your team knows exactly how your day should unfold.
Rehearsal & Wedding Day
The day before and the day of your wedding
At your rehearsal, we’ll walk through the ceremony together, make sure everyone understands where they need to be, answer final questions, and check in the personal décor you’re bringing to the venue.
Then it’s wedding day.
By this point, we’ve spent months building the plan together. Your job is no longer to manage it. Our team takes it from here so you can spend your time getting ready, celebrating with the people you love, and actually experiencing the day you worked so hard to create.
A Few Things You Can Start Thinking About
There is no need to have any of this finalized before your first planning meeting. If you’re excited to get started, though, these are a few helpful places to begin.
YOUR VISION
How do you want the day to feel? Romantic, elegant, relaxed, intimate, high-energy, or something entirely different? You don’t need a perfectly defined theme. A few inspiration images, colors, or words are plenty.
YOUR PRIORITIES
Think about the parts of the wedding that matter most to each of you. Maybe it’s incredible food, photography, spending time with your guests, design, dancing, or simply keeping the day relaxed. Knowing your priorities helps us make recommendations that fit your wedding.
YOUR GUEST LIST
You don’t need a final number yet, but an approximate guest count will help as we start thinking about the flow and feel of the celebration.
YOUR WEDDING PARTY
If you’re planning to have one, you can start thinking about who you’d like beside you.
YOUR VENDORS
Explore When You're Ready
Some of our couples want to read everything the moment they book. Others would rather wait until each decision becomes relevant.
Both are completely fine! These resources are here whenever you want them, and your planner will point you back to the right ones throughout the process.
PREFERRED VENDORS
Explore professionals we know and trust across photography, floral, entertainment, and more. If you’d rather have a little direction, your planner can help narrow the options based on what you’re looking for.
FOOD & BEVERAGE
Want to start exploring what you’ll be serving? Take a look at your food and beverage options, including menus, dinner service styles, desserts, and bar guidelines. You’re welcome to browse now, or wait until your planner walks you through the choices with you. Nothing needs to be finalized yet.
Your Venue’s Design & Décor Collection
Explore the pieces available at your venue and start saving things that catch your eye. You’ll make your actual selections together during your Design & Décor Meeting.
