Bringing It All Together
In the months leading up to your Final Planning Meeting
By now, the big pieces of your wedding are taking shape.
This part of the planning process is about refining the details, making a few final decisions, and getting the information your planner will need to pull everything together for your Final Planning Meeting.
You still do not need to handle everything at once. We’ll keep guiding you toward the right decisions at the right time.
Food & Beverage
Explore your menus, dinner service styles, desserts, bar offerings, specialty drinks, and tasting information all in one place.
If you haven’t already, this is a great time to start narrowing down your food and beverage selections.
You may be attending a tasting, thinking about signature drinks, finalizing dessert, or still deciding how dinner will be served.

Guest List & Seating
Required before your Final Planning Meeting
You’ll upload your guest list directly into our floorplan system, where you can place guests at their assigned tables using the reception floorplan we created together.
This is the guest list and seating chart our team will use for your wedding, so it’s important that all guests and table assignments are entered and up to date before your Final Planning Meeting.
Your planner will help with the floorplan itself, but you know your guests best, so the seating decisions are yours to make.
Music
Now is a good time to start thinking beyond “we want everyone dancing.”
Work with your DJ on the songs and moments that matter most to you, including ceremony music, introductions, formal dances, and your must-play and do-not-play lists.
Photography
Think about the people and moments you most want documented.
Your photographer will guide the creative side of your coverage, but it can be helpful to identify any specific family groupings, meaningful details, or must-have photos you do not want missed.
What memories do you want to capture on the day? This is a fun way to create a shot list to share with your photographer.
Ceremony Details
You can also begin thinking more specifically about how your ceremony will flow.
Who will be part of the processional? Who needs reserved seating? Will your wedding party stand or sit? Are there any traditions, memorials, or special moments you want included?
You do not need to solve all of the logistics alone. Your planner will help you work through the final ceremony plan before the wedding.
Later, you’ll complete your Ceremony Planner Worksheet and send it to your planner before the Final Planning Meeting.
Personal Décor
By now, you probably have a much clearer sense of what personal items you’ll be bringing with you.
Start gathering and organizing things like signage, photos, guest-book items, table numbers, favors, or other personal décor so nothing feels rushed at the end.
Your planner will work with you on where these items belong and how they should be set up.
This will become an important tool as you approach the Final Planning Meeting and rehearsal, when we’ll need clear instructions for the personal décor you’re bringing.
A Few Other Things
This is also a good time to take care of a few personal wedding details outside of the venue, including your marriage license, attire alterations, wedding rings, invitations, vows, and event insurance.
Friends and family can be a great resource for some of these outside pieces while your planning team stays focused on everything happening at the venue.
